ASSISTANT PROJECT MANAGER

JOB DESCRIPTION
The Project Manager Assistant’s ultimate responsibility is to assist the Estimator, Project Manager and Foreman
in managing projects. The Scope of Work and responsibilities of the Project Manager Assistant includes but is
not limited to the following:
• Submittals Processing
• Learn and utilize Quick Bid, OST and American Contractor for budget pricing and material ordering
• Timely & Accurate Transfer of Budget from Estimating Program to Accounting Program.
• Pre-Job Set-Up and Information Distribution to Superintendent & Foreman
o Job #, Job Name, Address, Scope Letter, Material List, Contact, Start Date, Bid Schedule, Plans
& Specs, Budget, Production Rates, etc.
• Work closely with Estimator, Project Manager, Superintendent, Foreman and General Contractor
• Material Take-off. Provide secured Material Pricing to Payables Dept.
• Assist with Material orders, receiving of materials, matching actual shipped material to what was
ordered and comparing invoices to shipping tags.
• Analyze Budget with Foreman
• Produce and Post RFI’s as needed
• Review and Identify RFI’s and provide a Timely Response to RFI’s and Field Directives
• Update office and field plans with any revisions to scope and inform foreman of changes
• Attend Jobsite meetings and Field Visits
• Produce Change Order Requests and keep an updated log
• Pursue Change Orders Aggressively!
• Analyze & Track Job Schedule
• Assist with Weekly Timecards
• Assist in project scheduling, cost analysis and percent complete process (WIP)
• Provide Timely & Accurate Monthly Billings
• Attend all Jobsite Meetings regarding changes, schedule, claims, problems, etc.
